Your Registration Obligations
When you register your venue with Adelaide Fringe, you agree to several key conditions to ensure a consistent and high-quality experience for everyone. These form the foundation of our partnership.
Marketing and Sponsorship
You must include the official Adelaide Fringe logo and website (www.adelaidefringe.com.au) as the main ticketing outlet on all promotional materials for your venue and the shows within it. All materials must follow the Adelaide Fringe Artist and Venues Style Guide. To avoid issues, we recommend sending drafts to our marketing team for feedback before you print.
A crucial part of your agreement is recognising BankSA as the Principal Partner of Adelaide Fringe. This means you cannot seek or accept sponsorship from any competing financial service provider for the duration of the Fringe. If you have a pre-existing sponsorship with a competitor, you must not display their logos on any Fringe-related marketing materials. For clarification, please contact the Partnerships team.
Service and Data Sharing
You are expected to provide the highest standard of service to artists and audiences, as outlined in the Adelaide Fringe Code of Conduct. By agreeing to these terms, you also permit us to share your contact details with our official partners (like BankSA) and government authorities for promotional opportunities or compliance purposes. You also agree to allow our official photographers or videographers to capture content at your venue.
Post-Fringe Reporting
You must provide Adelaide Fringe with detailed attendance figures, including door sales and attendance for free shows, no later than 15 days after the festival closes.
Ticketing
Adelaide Fringe ticketing is the backbone of the festival's sales network. As a venue, you have specific obligations to ensure that your ticketing works smoothly for artists and audiences.
Exclusive Ticketing Rights
All tickets for shows in your venue must be sold exclusively through Adelaide Fringe (www.adelaidefringe.com.au, box offices, and the call centre). Using any other ticketing agent is strictly prohibited unless you get written approval from Adelaide Fringe beforehand. If you have a conflicting contractual obligation, you must notify us before registering.
In some cases, a 'Split Allocation Agreement' may be approved, allowing a portion of tickets to be sold via another platform. If approved, you must ensure that no tickets are sold on the alternate platform before the official Adelaide Fringe on-sale date, and that the Adelaide Fringe allocation remains available until sold out.
E-Ticketing and Entry Management
All Adelaide Fringe tickets are sold as e-tickets. You must work with your artists to admit patrons by either:
- Scanning tickets at the venue door.
- Using the 'Seat Listing with Access Requirement' report (door list) from the Red61 ManageMyTix portal.
If you are a non-scanning venue, you are responsible for downloading this report for every session. You can schedule these reports in advance through ManageMyTix.
Sales Timing and Venue Changes
By default, Adelaide Fringe will sell tickets right up until the show's start time. If you need to stop sales earlier, you and the artist must both agree in writing, and approval is at our discretion. Any door sales you manage outside of Adelaide Fringe Ticketing are your sole responsibility, including customer service and reconciliation.
You must provide a final, compliant venue address by 30 October 2025. If you fail to do so, we may withdraw your venue from the program. If your venue or show time changes after this date, ticket holders are entitled to a full refund from you.
Access to Ticketing Reports
Depending on your level of access, you can monitor ticket sales (and now add or remove standard ticket types and promo codes) via the Red61 ManageMyTix reporting suite. Each venue receives a single 'Organisation login' available in your AVR 'My Reporting' dashboard.
Venue Responsibilities and Program Standards
As a Fringe venue, you play a critical role in upholding the festival's reputation and ensuring a safe, positive experience for all participants.
Maintaining Accurate Information
You must keep all your venue information in AVR up to date, especially accessibility details and technical specifications. If incorrect information (e.g., about accessibility) prevents a customer from attending a show, they are entitled to a refund from you. You must also ensure that every show held at your venue during Fringe is officially registered with us.
Content and Conduct Standards
Adelaide Fringe is committed to presenting work that is inclusive and safe. You agree that no content presented at your venue will incite hatred, be defamatory, or otherwise damage the reputation of Adelaide Fringe. We reserve the right to remove any show from the program without compensation if it breaches these standards.
You must operate your venue in a way that is free from harassment and discrimination, treating all staff, participants, and the public with respect, dignity, and fairness. Failure to adhere to these standards may result in the cancellation of your venue's registration and exclusion from future festivals.
Code of Conduct and Legal Obligations
Operating a Fringe venue comes with significant legal and ethical duties. You are required to maintain professional standards in your dealings with artists and comply with all relevant legislation.
Artist Agreements and Payments
- Contracts: You must provide each artist with a written contract detailing financial obligations, payment schedules, and what the venue will provide.
- Payments: All money owed to artists must be paid within the timeframe agreed upon in your contract.
- Door Sales: You must provide artists with daily written reconciliations for any door sales.
Compliance and Safety
- LPA Guidelines: You must read and comply with the Live Performance Australia (LPA) Industry Ticketing Code of Practice, especially for any income generated outside of Adelaide Fringe ticketing.
- Legislation: You must comply with all applicable Work Health and Safety, employment, and licensing laws.
- Child Safety: If your venue hosts shows involving children, you must have the relevant Working With Children Checks and lodge a Child Safe Environment compliance statement with the SA Department of Human Services. More information is available at www.dhs.sa.gov.au/cse.
Safety and Risk Management
You are fundamentally responsible for providing a safe environment for artists, audiences, and staff.
Venue and Technical Safety
- Rigging: If you promote your venue as suitable for aerial or rigging acts, it must be assessed and certified by a qualified rigger in compliance with the SafeWork SA Code of Practice.
- Risk Assessment: You must be able to provide a venue-specific risk assessment to Adelaide Fringe upon request.
- Fire Safety: Your venue must have fully operational fire and safety equipment (extinguishers, exit signs, etc.) as required by law. Non-compliance can lead to the closure of your venue.
Respectful Engagement and Inclusion
Adelaide Fringe is built on values of respect, inclusion, and safety. Your participation signifies your commitment to these principles.
Respectful Communication
You agree to maintain professional and respectful conduct in all dealings with Adelaide Fringe staff and stakeholders. Abusive, threatening, or discriminatory behaviour will not be tolerated and may result in your venue being removed from the program.
Accessibility and Sustainability
You must make your venue as accessible and inclusive as reasonably possible for both artists and audiences with disability. This includes providing accurate access information in your registration. We also encourage you to implement environmentally sustainable practices in your operations.
Reconciliation
Adelaide Fringe is committed to honouring Aboriginal and Torres Strait Islander peoples. You agree to incorporate an Acknowledgement of Country into every show held at your venue. Adelaide Fringe will provide official audio and written versions of a Kaurna Acknowledgement and a general Acknowledgement in AVR for your use.
Termination
Adelaide Fringe reserves the right to terminate your venue's registration if, in our sole discretion, you fail to comply with the terms of this agreement. If terminated, you must immediately stop representing your venue as part of the Adelaide Fringe. We may also remove your listings from our website and inform artists of your non-compliance.
Financials: Settlement, Insurance and Liability
Settlement
For Adelaide Fringe to pay out ticket income, the settlement split must be agreed upon by both the venue and the artist in AVR. Adelaide Fringe will aim to settle funds within 20 business days of the show's final session, or from when the settlement split is agreed in AVR—whichever is later. If the split isn't agreed upon after 20 business days, we will proceed with the proposed settlement in AVR.
Insurance and Liability
You are wholly responsible for arranging and paying for all necessary insurances, including Public Liability Insurance. You agree to cover any liability or costs arising from any act or default by you, your staff, or artists at your venue. Adelaide Fringe is not responsible for any damage, vandalism, or theft of property at your venue.
